This is an in-person position, Monday – Friday, located at 688 Josephine Street, Wingham, ON.

Title: Senior Administrative Assistant
Reporting Manager: Executive Assistant & Administrative Leader
Location: 688 Josephine Street, Wingham, ON
Hours: 8 am – 5 pm; Monday – Friday

Job Types: Full-time, Permanent

Position Summary:

The Sr. Administrative Assistant represents the face of the company and acts as a primary resource for the Business Development Managers. This role is responsible for working collaboratively with the outside sales team and dealers as administration, marketing and sales process support primarily for the US sales team. This role participates in the resolution of technical issues to ensure complete customer satisfaction as well as serving as a research/feedback intermediary for company operations continuous process improvement. The most important role for this position is being the primary on phones and being the welcoming face of Britespan for any visitors in the front office.

Position Qualifications:

Education & Knowledge

  • Executive, Office Administration or Business Management or equivalent experience
  • Knowledge of the market analysis, planning, and construction – asset

Skills

  • Proactive Self-starter
  • Perform efficiently in fast paced environment
  • Exposure to expense management

Must have’s:

  • Accuracy, Accountability, Analytical, Attention to detail, Flexible, Organized, Problem Solving, Self Motivated, Time Management / Multitasking
  • Able to consult with and influence customers inside and outside of Britespan
  • Proficient in Microsoft Office Suite
  • Proficient in Adobe Pro or other PDF readers
  • Microsoft Dynamics or another CRM Database
  • Smartsheet – asset

Experience

  • 5+ years administrative / customer service experience
  • Senior Administration/Customer Service background – preferred

Communication

  • Strong customer service skills and mindset
  • Effective verbal and written communication, collaboration and teamwork
  • Excellent phone skills
  • Must be efficient in Zoom/Teams Meetings
  • Other virtual meeting platform – asset

Responsibilities

  • Willing and able to develop and maintain an in-depth knowledge of our products, quality standards, industry trends and competition’s services and pricing
  • Manage total CRM functionality with all aspects of the sales process; CRM as the primary mode of information management, database compilation, and campaign generations
  • Ensure all data is continuously input into the CRM and maintained for in-progress communication & historical values management
  • Demonstrate ingenuity in solving customer problems
  • Report weekly and monthly leads and sales
  • Assist the Sales team with conflict resolution including, but not limited to orders in process
  • Manage and report on order status, WIP and logistic status for orders
  • Document communication such as emails, file appendages and phone logs of significant
  • Update and communicate new releases and other Britespan related items with dealer network
  • Manage services with facilities and other grounds service providers
  • Able to interact effectively with customer/public and maintain a positive, can-do, service orientated attitude
  • Able to withstand negative or emotional communication while maintaining composure or feel personally impacted
  • Primary on answering incoming calls for multiple company lines
  • Able to comfortably lead a meeting and document action items
  • Manage multiple email inboxes
  • Assist with preparation for employee meetings / functions / presentations
  • Organize travel arrangements for leadership group, customers and dealers
  • Able to meet timing deadlines and coordinate with other departments
  • Able to administer and track work being completed on projects
  • Support and communicate with other departments, leaders and executives with professionalism and confidentiality
  • Support to departmental teams as required
  • Other duties as assigned by Leader
